HR Operations Administrator
Job Description

The HR Operations Administrator plays a key role in delivering efficient, accurate, and customer‑focused HR services across the organisation. You will support end‑to‑end HR processes that directly impact payroll, employee experience, and HR data integrity.
There are five vacancies available, and it is intended that a panel will be formed from this competition to fill any future HR Operations Administrator roles that may arise within the HR Operations team within the next 12 months.
Responsibilities
The principal responsibilities associated with this role include, but are not limited to the following:
- Support the completion of new starter setup and contract generation.
- Provide administrative support across absence and leave processes, including sick leave, maternity leave, annual leave, and statutory leave schemes. You will also assist with retirement related administrative activities.
- Maintain and update records / documentation across all HR systems ensuring clean, accurate and consistent HR data to support audit and quality assurance processes.
- Assist in ensuring accuracy and compliance in all payroll-impacting activities, with adherence to legal, regulatory and GDPR requirements in HR actions.
- Collaborating with the wider HR Team to adapt from manual processes to new automated workflows.
- Be a point of contact for employee queries, offering guidance within the agreed timelines, ensuring a high standard of customer service.
- Assist in preparing weekly reports, highlighting any issues and communicating correspondence where required.
- Carry out additional administrative duties as required by the team.
- Demonstrate An Post values and behaviours in your day-to-day work and address behaviour that supports/conflicts with them.
Qualifications
- Excellent communication and customer service skills.
- Proficiency in Microsoft Word and Excel.
- Strong organisational skills with exceptional attention to detail.
- Ability to work on own initiative with a flexible, solutions‑focused mindset.
- Comfortable working in an agile and evolving environment with changing processes.
- Embraces digital tools and systems, actively building capability to support and improve technology-driven ways of working.
Desirable
- Experience in HR operations, administrative or customer‑facing environments.
- Understanding of HR systems is an advantage.
- Professional HR certification (e.g., CIPD) desirable; existing An Post staff will be supported to gain HR certification.
