Advertising Operations & Delivery Coordinator
Job Description
The purpose of the Advertising Operations and Delivery Coordinator is to work within the Media Sales team as part of the wider Commercial Department at Dublin Airport. The role includes the management and delivery of the end-to-end execution of advertising campaigns and projects across Dublin Airport (Terminals 1 and 2) and Cork Airport. A key part will also be supporting the digital transformation of both airports as the Media Sales team are embarking on a major digital expansion project. Client event organisation across the commercial business portfolio will also form part of this role.
This role is responsible for coordinating all aspects of campaign delivery—from booking and content scheduling to billing and post-campaign analysis—ensuring that all campaigns are executed on time, within budget, and to the highest standard. The role will work closely with third-party agencies, production houses, and CMS providers to ensure seamless campaign implementation, while also maintaining accurate records, updating availability, and supporting the Media Sales team with reporting and client servicing.
This role plays a key part in upholding daa’s reputation for excellence in customer and 3rd party management. The role requires strong attention to detail, excellent communication skills, and a proactive approach to campaign and stakeholder management.
Responsibilities
- Coordinate and manage the end-to-end delivery of all media sales advertising campaigns across Dublin Airport (T1 & T2) and Cork Airport, from booking through to billing.
- Liaise with third-party stakeholders including advertising agencies, Out of Home booking specialists, production houses, and CMS providers to ensure timely and accurate delivery of campaign materials.
- Monitor digital advertising networks and physical inventory to ensure all content is displayed as scheduled and to the highest quality standards.
- Maintain and update internal campaign tracking systems and media availability presentations to reflect current bookings and upcoming opportunities.
- Support the Media Sales team with administrative tasks including processing bookings, generating reports, maintaining marketing databases, and preparing client-facing documentation.
- Conduct regular site visits across Dublin and Cork Airports to ensure campaign installations meet quality and brand standards.
- Capture high-quality photographic evidence of campaign installations for proof-of-posting reports and client communications.
- Prepare and distribute post-campaign reports, including proof-of-posting documentation and performance summaries.
- Manage service level agreements (SLAs) with external CMS and production partners to ensure operational excellence and accountability.
- Conduct regular audits of advertising inventory to ensure accuracy, availability, and optimal utilisation of media assets.
- Management of Media Sales works, raising required purchase order’s, work permits etc. Support the rollout and operational integration of the Digital Expansion Project.
- Manage a seamless integration of new digital formats into the existing media estate.
- Coordinate with internal stakeholders (e.g., IT, Facilities, Operations) to ensure seamless implementation and maintenance of new digital assets.
- Collaborate with the Accounts Receivable team to ensure accurate billing, revenue tracking, and timely resolution of any invoicing issues.
- Management and organisation of client events across the commercial business portfolio.
- Contribute to continuous process improvement.
- Ensure compliance with daa’s operational, health & safety, and brand standards.
- Provide general administrative support to the Media Sales and contribute to the smooth running of day-to-day operations.
Qualifications
- Experience and/or a good knowledge of the advertising market is desirable.
- Strong project coordination skills with the ability to manage multiple projects simultaneously and deliver to tight deadlines.
- Proficiency in Microsoft Office Suite, particularly Excel (including formulas and pivot tables) and PowerPoint for reporting and presentations.
- Experience working with content management systems (CMS) and digital signage platforms is a distinct advantage.
- Excellent organisational skills with a high level of attention to detail, particularly in campaign scheduling, billing accuracy, and proof-of-posting documentation.
- Strong communication and interpersonal skills, with the ability to liaise professionally with internal teams, clients, and external agencies.
- Experience in photography and visual documentation for campaign proof-of-posting and reporting purposes an advantage.
- Demonstrated ability to support projects and/or project management experience an advantage.
