Job Purpose
Our Head Office is based in Dun Laoghaire, Co Dublin (with circa 100 staff) the HQ office plays a vital role in supporting and enabling our country teams to deliver impact effectively. We are currently seeking an organised and proactive Facilities and Office Coordinator to ensure an efficient, safe and well managed work environment for the GOAL team.
The successful candidate will provide combined office administration and office facilities support to a small corporate head office; this will entail facilities management, office equipment and supplies and ensure GOAL maintains a safe working environment for our small HQ team
**This is full time permanent role, based on site, 5 days per week (Mon-Fri 9am-530pm) at our HQ in Dun Laoghaire, Co Dublin**
Key Responsibilities
Facilities Management and Office Supplies
- Manage office stores, stocks and ordering office supplies.
- Maintain the office property register, and manage repairs, disposal, and replacements.
- Manage the office equipment ensuring appropriate use, maintenance and servicing.
- Issue and track keys, fobs, and other office equipment.
- Proactively ensure that all office facilities are in good working order.
- Track faults reported in the office and arrange repairs.
- Contract and supplier management
- Provide guidance for staff on use of office equipment or services.
Coordinate Front Desk and Daily Office Activities
- Answer and manage a small volume of incoming and outgoing calls
- Handle incoming and outgoing correspondence, including courier services (FedEx, DHL, etc.).
- Coordinate meeting room setups and ensure all equipment is available and functioning.
- Organise refreshments (tea, coffee, lunches) for internal meetings.
- Arrange external meeting venues and manage associated logistics.
Ensure a safe working environment
- Maintain risk assessments, proactively identifying risks, assessing, and implementing mitigation measures.
- Designated Fire warden for the GOAL office.
- Provide training and guidance as required to HQ staff on safe workplace practices.
- Support with incident reports on any health and safety incidents.
- Maintain the office SharePoint site with guidance materials for staff working from or visiting the Dublin office.
- Undertake other tasks as requested to enable the delivery of GOAL’s work.
Skills and Experience
2-3 years’ experience in facilities, office administration or customer service role - ideally for a small corporate office of similar size and activity
Strong organisational and time-management skills.
Demonstrated knowledge and understanding of risk assessment and mitigation
Structured approach to tasks with ability to prioritise and follow-up.
Excellent communication skills, with fluent written and spoken English essential.
Proficiency in Microsoft Office 365 (Teams, Outlook, Word, Excel, PowerPoint).
Some previous experience or qualification in Health and Safety Management is a distinct advantage
Genuine interest in the humanitarian and international development sector.
