About the Role:
The Tendering Administrator is responsible for providing administrative and coordination support to the tendering and procurement functions. This role ensures that tender documentation is accurately prepared, schedules are well‑managed, and communication across internal and external stakeholders is clear and efficient.
Key Responsibilities
Tender & Procurement Support
- Organise, compile, and prepare detailed content and requirements for tender documentation in collaboration with the procurement team.
- Manage the Tendering mailbox, ensuring all correspondence and required actions are completed in a timely and accurate manner.
- Prepare and submit reports, presentations, proposals, and supporting documents as part of the tendering process.
Scheduling & Coordination
- Coordinate schedules and manage calendars for multiple stakeholders, ensuring all activities, meetings, and deadlines are efficiently organised with no conflicts.
- Organise and schedule meetings, tender‑related reviews, and internal coordination sessions.
Administrative Operations
- Coordinate office activities to ensure operational efficiency and compliance with company policies.
- Maintain accurate records, tender files, document registers, and tracking logs.
- Assist colleagues and support cross‑functional teams whenever necessary.
Communication & Liaison
- Liaise with internal departments and external parties to facilitate smooth communication and progress of tender activities.
- Support information flow between procurement, commercial, and project teams.
Key Requirements:
- Strong organisational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High attention to detail and accuracy, particularly in documentation.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to work in a fast‑paced environment with multiple deadlines.
- Proactive, dependable, and team‑oriented.
