Role Overview

The Events Executive will manage and oversee all aspects of event planning within the museum’s spaces in collaboration with colleagues, external clients and stakeholders. These activities are critical to achieving the goals of IMMA and overseeing a portfolio of State, Cultural, and Commercial events.

 

The Event Executive ensures details are in place in advance of an event to run smoothly and ultimately enhances the visitor experience engaging in events at IMMA.

Key Responsibilities




1. Client Relationship Support:

  • Conduct preliminary research on potential clients or event opportunities.
  • Handle client inquiries and provide high-level customer service to ensure client satisfaction (both internal and external).
  • Prepare and present proposals and contracts. Use a suitable software system to demonstrate layout of event with the client.



2. Event Planning and Design

  • Work closely with clients, external event companies, internal stakeholders to plan event details from concept to the execution.
  • Manage bookings and scheduling for museum event spaces.
  • Understand the event’s objectives and design it accordingly. This includes style of event, setting timelines, number of guests, F&B requirements, entertainment, speeches, planning the layout etc.
  • Provide clear and effective communication with OPW and external contractors to ensure IMMA’s needs are met within a safe environment.
  • The Event Executive may have duties which include the transportation of furniture, such as tables, seating, stages, dancefloor, audio systems, barriers, dancefloors, uplighters, coat rails, signage stands and heaters.



3. Vendor Management

  • In conjunction with Senior Commercial Manager, identify and select external event companies that align with the state’s and IMMA’s needs through rigorous vetting and competitive procurement processes.
  • Oversee vendor performance to ensure compliance with museum standards and event objectives.
  • Maintain strong relationships with all external partners and vendors.



4. Stakeholder Communication:

  • Engage with stakeholders at all levels, including state officials, museum staff, and external partners, to support events.
  • Ensure that all internal stakeholders are informed about event developments and that their input is incorporated into the planning process.
  • Address and resolve any issues that arise before, during, or after events.




5. Budget Management:

  • Develop and manage comprehensive budgets for state, cultural and commercial events, integrating costs from external entities and ensuring transparent financial reporting.
  • Monitor expenses and provide regular financial reports to museum management.




6. Post Event Analysis

  • Conduct thorough post-event evaluations to assess the performance against objectives and identify improvement opportunities.
  • Prepare detailed reports for state officials and relevant stakeholders, outlining event outcomes, budget adherence, and public engagement.
  • Gather feedback from attendees, vendors, and museum staff to enhance future events.

Key Performance Indicators



Stakeholder Satisfaction:

Metric: Measured through post-event surveys or feedback forms distributed to both attendees, internal museum staff and high-level stakeholders (e.g., state officials, sponsors).

Objective: To continuously assess IMMA’s event organisation and execution delivery.

 

Budget Adherence:

Metric: Measures how effectively the event stays within the financial parameters set during the planning stages.

Objective:  Assess financial management skills and cost efficiency.

 

Vendor Performance Metrics:

Metric: Assesses the performance of external event companies and other vendors based on criteria like adherence to contract terms, quality of service, and punctuality.

Objective: Ensures that vendors meet or exceed IMMA’s expectations.



Event Setup and Breakdown Efficiency:

Metric: Time how quickly and effectively event setups and breakdowns are completed.

Objective: To minimise disruption to IMMA’s operations and visitor experience.

 

Repeat Partnership Rate:

Metric: Track the rate at which external companies and attendees choose to work with IMMA on multiple events.

Objective: Get an indication of the overall success and appeal of IMMA’s events.

 

Incidence Reports:

Metric: Monitor the number and severity of any incidents or disruptions during events.

Objective: Fewer incidents suggest better planning and risk management.

 

Return on Investment on Events:

Metric: For events intended to generate revenue or other tangible benefits, analyse the profitability of events by considering all costs versus gains from things like ticket sales, sponsorships, book shop, sales, increased museum memberships, or donations.

 

Innovation and Improvement

Metric: Measure the introduction of new and innovative event elements and the adoption of suggestions or improvements from previous event feedback.

Objective: Continuously improve the event delivery standard delivered at IMMA.

What We Are Looking For



The successful candidate will have:



Education and Experience

  • A third level degree and/or 5 years relevant administration.
  • Proven track record of successfully working within a busy office, dealing with a high volume of enquiries.

 

Skills

  • Strong negotiation skills aligned to a flexible approach in the working environment.
  • Demonstrated ability to work collaboratively with colleagues, external partners, and vendors.
  • Excellent organisational, communication, and attention to detail skills, with the capacity to manage multiple projects simultaneously.
  • Proficiency in the use of IT technology and event software.

Desirable Attributes:

  • Passion for the event industry, with an understanding of the museum’s strategy.
  • Experience in handling high-profile events and VIP guests.
  • Ability to work flexible hours, including evenings and weekends, as required by the nature of events.

Salary

 

The salary for this role is in line with public sector pay scales, starting at €38,419, Point 1 of the Grade Executive Officer
(PPC)
scale, as of 1st February 2026.

The Full Time Salary Scale: €38,419, €40,360, €41,456, €43,594, €45,510, €47,364, €49,211, €51,024, €52,890, €54,749, €56,722, €58,044, LSI 1 €59,928, LSI 2 €62,601

 

Candidates should note the Irish Museum of Modern Art complies with Department of Public Expenditure and Reform and guidelines on Public Sector pay and conditions of employment and pension provisions. Entry level will be at Point 1 of this Grade.
