The Team and the Role:

We are seeking a proactive and highly organized Engineering Administrative Coordinator to serve as the operational backbone of our Cork Hardware Engineering site. This role is designed for a "force multiplier"—someone who can manage the logistics of a multi-disciplinary engineering environment (ME, GGE, CMF) while supporting the long-term strategic initiatives of the leadership team.

You will balance high-stakes innovation funding compliance and internal/external visits with day-to-day administrative excellence, ensuring our engineers stay focused on building the future while you manage the machinery that makes it possible.

1. Strategic Operations & Site Development

  • Strategy Support: Partner with HW Engineering Leadership to advance the Cork site strategy by tracking actions and ensuring strategic goals are met.

  • Facilities & Logistics: Serve as the liaison for Facilities Management regarding space planning and infrastructure.

  • Process Innovation: Review and suggest improvements to administrative practices, specifically using AI tools to enhance workflow and team efficiency.

  • Project Support: Organize critical Project Reviews and Gate Meetings to ensure product development stays on track.

2. Financial & Compliance Management

  • R&D Tax & Funding: Act as the primary admin lead for R&D tax credit claims and IDA Ireland contacts, including compiling reports and managing audit-compliant timesheets.

  • Budgeting & Procurement: Track budgets for lab consumables and handle the end-to-end PO and supplier onboarding process.

  • General Finance: Process expense reports and basic finance-related tasks for the HW Engineering group.

3. Workshop & Visit Coordination

  • Visits:Lead the end-to-end planning for upcoming LT, partner, and customer visits, as well as internal visits and workshops. Responsibilities include managing agendas, logistics, and hospitality.

  • Technical Workshops: Plan logistics for workshops across ME (Mechanical), GGE (Global Graphics), and CMF (Color, Material, Finish) teams.

  • Shipping & Logistics: Manage global shipping for prototypes, Proof of Concepts (POCs), and exhibition materials.

4. Talent & Academic Partnerships

  • Intern Program Management: Act as the main point of contact for our 5+ partner universities across Ireland.

  • Onboarding: Manage the end-to-end intern lifecycle, from university submissions and P&C (People & Culture) contract liaison to first-day equipment and orientation.

  • Global Intern Support: Support the global scaling of the HW Engineering Internship Program (e.g., Lausanne) by aligning administrative workflows and recruitment logistics in collaboration with local assistants.

5. Global HW Engineering Collaboration

  • Strategic Alignment: Partner with the global HW Engineering administrative community to share best practices and align on global programs and initiatives.

  • Cross-Site Support: Act as a proactive backup and collaborator for HW Engineering Assistants at other global sites to ensure organizational continuity.

Key Qualifications:
For consideration, you must bring the following minimum skills and experiences to our team:

  • Experience: 3–5+ years in a senior administrative or project coordination role, preferably within an international technical or engineering environment.

  • Technical Literacy: Proficient in budget tracking (Excel/Google Sheets) and PO systems. Experience with AI tools for administrative efficiency is required.

  • Organizational Mindset: Ability to juggle R&D tax compliance with high-profile event planning simultaneously.

  • Communication: Comfortable liaising with diverse stakeholders, from university career offices to global executives and external R&D consultants.

  • Compliance Knowledge: Previous experience with R&D tax documentation is a significant plus.

  • Proactivity: Ability to take a high-level strategy and break it down into actionable calendar invites and follow-ups.
