About the post: This role provides an opportunity for the successful candidate to join RCSI’s Conference and Events department. The department manages a programme of events that aligns to the strategic priorities of RCSI. We endeavour to build the international reputation of RCSI among key stakeholders by delivering top quality events. The team is also responsible for the venue management of RCSI St Stephen’s Green campus and for building and establishing connections with internal stakeholders and affiliates to maximise RCSI’s brand. Specifically, the duties of the post will include the following: Organise all aspects of assigned internal and external RCSI events and conferences (live and online), through appropriate planning and preparation including but not limited to; event logistics, budgeting, AV, programme delivery, travel, post event analysis. Collaborate effectively with colleagues, clients and stakeholders in the implementation and delivery of strategic and operational initiatives that complement RCSI’s strategic priorities. Plan and coordinate the needs of all events and liaise with service providers including Estate & Support Services, Media Services, Porters, Catering and relevant external service providers. Build strong relationships with internal/external clients and stakeholders. Track and manage projects to ensure activities are in line with scope and strategic objectives. Liaise with the Communications Department and relevant stakeholders, as necessary, to promote RCSI core events, identify promotional opportunities to enhance the reputation of the university and exposure of events Ensure that the conference software and venue systems are up to date at all times. Support team members and work collaboratively as a team player. Undergo programmes of training and development as may be required. Undertake other projects and duties; and provide support / cover for other staff as may be required / deemed appropriate by university authorities while representing the best interests of RCSI at all times. Person specification Qualifications Project management qualification or equivalent would be desirable Knowledge & Experience – ( Essential): Strong experience in conference and event management or equivalent Proven experience in online, virtual and hybrid event planning, management and delivery Familiarity with financial management and budgeting Experience working within the professional conference management industry would be advantageous Skills and competencies Sound project management skills and evidence of completion of complex projects Self-driven with strong interpersonal, communication and collaboration skills Proven ability to learn quickly, prioritise objectives and deliver high quality events/projects Ability to think, plan and act strategically in a busy and changing business environment Experience with negotiating, problem solving and building relationships with stakeholders, clients, vendors and suppliers Experience preparing and delivering high quality presentations Strong organizational and time management skills, with the ability to balance competing pressures, deadlines and demands while remaining customer focused A keen attention to detail Ability to remain calm and receptive in fast paced situations Self-motivated and proactive; able to work independently and enthusiastically as part of a team Flexibility to manage own time and to work flexi hours in line with business needs Excellent knowledge of MS Office suite and experience in the use of conference management systems and online platforms We are all too aware that imposter syndrome and the confidence gap can sometimes stop fantastic candidates putting themselves forward, so please do submit an application — we’d love to hear from you.
