About the post:
We are seeking a highly motivated and detail-oriented individual to join our Operations Team as an Operations Assistant within the expanding School of Nursing & Midwifery at the Royal College of Surgeons in Ireland (RCSI).
The successful candidate will support the management of the full student lifecycle, from initial enquiry and application through to graduation and alumni engagement, while also contributing to ad hoc projects and events across the School. This role will play a key part in supporting the delivery and continued development of our new micro-credential programme.
The position requires strong organisational skills, excellent communication abilities, and the capacity to manage multiple priorities effectively within a dynamic academic environment.
Job Responsibilities
Coordinate the end-to-end operational management of programmes from initial enquiry through to graduation.
Manage programme applications and admissions, including reviewing documentation and verifying professional and educational qualifications.
Act as the first point of contact for programme applicants and students, providing timely and professional support.
Coordinate student registration, induction and orientation processes.
Support module delivery logistics, including timetabling, room bookings and coordination with faculty and guest lecturers.
Manage the Virtual Learning Environment (Moodle), including module setup, enrolments and user management.
Oversee assessment processes including submission coordination, examination logistics, results collation and communication of outcomes.
Support the preparation of examination boards and liaise with External Examiners as required.
Ensure accurate student record management and progression tracking through the School’s student management systems.
Coordinate the issuing of transcripts, certificates and related documentation.
Work closely with the Programme Director and external partner to support programme planning, reporting and quality assurance requirements.
Contribute to School wide initiatives and events where required.
Undertake relevant training and professional development activities.
Perform such other duties as may reasonably be required, consistent with the nature of the role.
Knowledge & Experience – (Essential)
:
Strong organisational and administrative skills with the ability to focus on and produce results and prioritise objectives
An effective communication style appropriate to audience and situation
Strong results focus combined with excellent attention to detail
Excellent customer service capabilities
Strong, practical and adaptable IT skills
Advanced MS Excel, Word and PowerPoint knowledge
Flexibility to work in a changing environment
The ability to work on their own initiative as well as in a team environment
