
Supplies Officer (Grade D)
Description
Supplies Officer (Grade D) - Temporary Full-time (35 hours per week) - Contract duration: 2 years
Main Duties & Responsibilities
· Carry out duties under the direction of the Materials Officer / Deputy Materials Officer and Supplies Officers (Grade C) and assist the Supplies Officers ( Grade C) in the performance of his/her duties.
· To be responsible for the proper receipt of goods and services for the Supplies Department.
· To ensure the correctness of deliveries in terms of an Official Order Number, Quantity, Quality and Goods Received Note. To follow through with any incorrect deliveries with Supplier and feed back to Supervising Officer.
· To ensure that all Receipts / Issues are accurately recorded on the appropriate system as instructed.
· To ensure all goods are stored in their allocated area within the Supplies Department.
· Pick stock in the Supplies Department as required for all Wards / Departments on a routine scheduled basis and to highlight any stock shortages and issues to the relevant personnel.
· To ensure that deliveries are made to the relevant Wards / Departments as agreed and that re-order levels for stock replenishment are adhered to.
· Carry out computerised re-order levels for Ward / Theatre stock replenishment on a daily / weekly basis
· Carry out cycle counts / physical inventory counts every Friday.
· Replenish stock on shelves from the overflow section every Friday or as and when required.
· Inputting of all ward requisitions on a SAGE computerised system
· Informing the Materials Officer / Deputy Materials Officer on the weekly departmental budget overruns as per the computerised stock control system.
· To be available to work Bank Holidays on a rota basis.
· Updating of all purchase orders on a Sage computerised system.
· To participate in the Annual Stocktake which is carried out on five consecutive Saturdays or as required during the months of October / November / December and also to participate in the half yearly stocktake of the Supplies Department normally carried on the last Saturday in June.
· To ensure that the Stores are kept in proper condition and that all necessary precautions are taken to prevent deterioration of any goods under his/her charge.
· To keep such books, records, etc. as he/she may be directed to keep and in the manner so directed where relevant.
· To report any deficiency or irregularity he/she may observe.
· To attend training/instruction for relevant equipment / vehicles.
· To attend mandatory and other training as required
· Work co-operatively within a group and across Departments and services to achieve goals
· Have the ability to understand and be tolerant of differing needs and viewpoints.
· Provide information, instruction, training and supervision of staff members under your remit, if applicable, in the context of management of Health & Safety such as PPE usage, chemical safety etc.
· Participate in internal and external audit and review as appropriate.
· Work in a manner with due care and attention to safety of self, patients, staff and other persons in the workplace with reference to the Safety, Health & Welfare at Work Act 2005.
· Report immediately to Line Managers/nominated persons, any accidents or incidents involving patients, staff and/or members of the public in line with hospital policy.
· Comply and be familiar with all hospital policies and procedures and in particular those relating to Safety, Health and Welfare, Infection Control, Hygiene, Risk Management and Decontamination.
· Work within a Risk Management Framework to achieve the HIQA Safer, Better Healthcare Standards and other quality standards as appropriate.
Any other duties appropriate to the post as may be assigned from time to time by the Materials Officer.
