Senior Office Administrator
Location: Leixlip
Duration: Permanent
Hours: 07:30am-15:30
Overview of the role;
We are seeking an experienced and highly capable Senior Office Administrator to oversee and manage the administrative functions of our office. The successful candidate will play a key role in ensuring operational efficiency, providing high-level support to senior management, and leading the wider administrative team. This is a senior role that requires a proactive, professional, and solutions-focused individual with a proven track record in office administration.
Day to Day of the role;
- Oversee the day to day administrative operations in the office
- Develop, implement, and improve office procedures and policies
- Manage and maintain filing systems, databases and records
- Ensure compliance with the companies policies
- Ensure accurate invoicing to our client
- Track and receipt supplier payments
- Raising and Tracking of purchase orders
- Supervise, mentor and support junior administrative staff
- Delegate tasks and manage workloads across the admin team
- Conduct performance reviews and provide ongoing feedback
- Identify training needs and support for the team
- Developing internal & client relationships
Requirements for the role;
- Previous experience in a senior or supervisory capacity
- Minimum 3-5 years experience in an office Admin role
- Degree or equivalent professional qualification (preferred)
- Advanced proficiency in Google Office Suite & MS Office (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills
- Excellent organisational and project management skills
- Demonstrated ability to lead and motivate a team
- Experience managing budgets and financial processes
- High level of accuracy and attention to detail
- Experience with CRM or office management software; Salesforce will be an advantage
- Confident and professional with a proactive approach
- Strong leadership and interpersonal skills
- Ability to manage multiple priorities and meet deadlines
- Calm under pressure with excellent problem-solving skills
- Trustworthy, discreet, and highly dependable
- A natural communicator who can engage at all levels
- Self-motivated with a continuous improvement mindset
Desirable Qualifications
- Knowledge of HR processes and employment legislation
- Project management experience
- Experience in a fast-paced or corporate environment
