Title: EHS and Energy Systems Administrator
Location: Dublin (Hybrid)

Vhi Group Services DAC have a full-time permanent vacancy for an EHS & Energy Systems Administrator based in Dublin. The successful candidate will be responsible for the administration, coordination and documentation control of all operations activities with a specific focus on ISO standards around Energy, Environmental and H&S activities across the Group and for coordinating and administering of specialist project around new document management software systems to assist in managing ISO systems (or other systems), audits and reports. You will work within the People & Sustainability Operations (Services) team working closely with the H&S manager and the Environmental and Energy specialists.

What will you do:

 
  • Support the administration and ongoing compliance of ISO 45001, ISO 14001 and ISO 50001 management systems across the business.
  • Manage document control processes, ensuring records, policies, procedures, audits, drawings, risk registers and corrective actions are accurate, up to date and compliant.
  • Administer and support the development and migration of document management systems, maintaining robust version control and document governance.
  • Coordinate the secure storage, distribution and retention of confidential and technical documentation in line with legal and regulatory requirements.
  • Organise and minute meetings relating to audits, compliance, document control and continuous improvement initiatives.
  • Assist with internal audits, quality assurance activities, dashboard reporting and the preparation of audit documentation and reports.
  • Collate and analyse compliance, incident and audit data, providing reports and information to key stakeholders as required.
  • Support the coordination of ISO training requirements and maintain accurate training records.
  • Provide day-to-day administrative support across Energy, Environmental, Health & Safety, FM and Property functions, while assisting with wider operational and office administration activities as needed.



What will you need to be successful:

Education & Knowledge:

 
  • Third Level degree qualified preferable or qualifications in business administration.
  • Experience or qualification in Health & Safety, Environmental or Energy a distinct advantage.
  • At least two years in a similar role around ISO documentation control, management and administration (Interaction with risk, H&S, Environment and Energy a distinct advantage)
  • Experience in working with document control/quality control software systems required.
  • A strong business acumen and willingness to learn.
  • SharePoint experience desirable.

  • Highly numerate and analytical with a structured and organised mindset
  • Excellent communication skills, both written & verbal
  • Ability to work on own initiative but also as part of a team
  • Strong organisational skills with excellent attention to detail.
  • Strong influencing skills with a proven ability to proactively seek solutions
  • Advanced word, excel and PowerPoint required.
  • Strong knowledge on quality or document control software systems
  • Report writing experience desirable.
  • Demonstrated alignment to the Vhi values
