
ICT Project Administration and Support
Description
Purpose of the role
The purpose of this post is to deliver administrative and operational support to the EHR Programme & ICT team, while overseeing and coordinating office tasks to ensure the efficient functioning of daily operations.
The post holder will manage and be responsible for:
- Working in partnership with the ICT and EHR Programme to support office operations and provide accurate and effective administrative support.
- Provide professional secretarial services including writing and distributing agendas, papers and minutes (including Programme Board minutes), which are sometimes of a complex and highly technical or clinical nature.
- Support the management of project risks, issues and scope within the governance structure via project tools and reports
- Support the coordination of requested hotel bookings and travel arrangements on behalf of the EHR Programme team.
- Support the programme by serving as an Epic Exam Proctor, coordinating and overseeing Epic exams required by programme team members.
- Support Office functions: Maintain stocks of stationery, refreshments and other goods, re-ordering as appropriate, documenting costs and making appropriate arrangements for delivery and payment.
- Support reporting of any building maintenance or ICT issues to the appropriate person and follow up on any repairs or requests to ensure they are completed in a timely manner.
- On-boarding & offboarding tasks of programme resources and equipment, ensuring that staff are inducted smoothly into the programme with minimal disruption.
- Support the organisation of workshops, talks, lectures and other EHR related information events and meetings. This may include booking rooms, issuing invitations and monitoring responses, answering queries, sending or preparing associated documentation, ordering or arranging refreshments, setting up and tidying of the room etc.
Essential Criteria
- Have successfully achieved a Leaving Certificate or equivalent qualification (Level 5) within the QQI Framework
- Minimum of two years’ experience in a project related administrative and secretarial role, with at least one year’s experience within the project team of a large programme of work, such as the EHR Programme.
