Description
Seeking a reliable, organised and customer-focused Payments Office Administrator to join our team at Ballyogan Civic Amenity Centre on a 12-month fixed-term contract.
The successful candidate will be responsible for providing a professional face-to-face service to customers entering the facility, accurately processing cash and card payments, maintaining payment office records and completing general administrative duties associated with the day-to-day operation of the site.
As the Payments Office is a key point of contact for customers visiting the facility, the successful candidate will play an important role in delivering a positive and professional customer experience.
Key Responsibilities
• Provide a professional, friendly and courteous service to customers entering the Civic Amenity Centre.
• Process all customer payments accurately, including cash and debit/credit card transactions, and issue receipts.
• Apply the correct charges based on vehicle and waste type in accordance with the site pricing structure.
• Maintain accurate records of all transactions and complete required daily Payments Office documentation.
• Manage the till float and cash held within the Payments Office in accordance with Company Payments-handling and security procedures.
• Complete daily cash and card reconciliations and report any discrepancies in a timely manner.
• Follow the appropriate procedures for refunds, voids and other transaction adjustments, ensuring the required authorisations are obtained.
• Complete Payments Office opening and closing procedures, including end-of-day reports and the secure storage of daily takings.
• Respond to customer queries and provide accurate information regarding site services, charges and procedures.
• Direct customers appropriately and liaise with the Site Supervisor and operational team where required.
• Handle customer queries or disputes professionally and escalate complaints or difficult situations to the Site Supervisor or Facility Manager where appropriate.
• Complete general administrative duties, including data entry, filing, record keeping and preparation of relevant documentation.
• Maintain the security and integrity of the Payments Office, ensuring access is restricted to authorised personnel.
• Maintain a clean, organised and professional Payents Office environment.
• Comply with all Company policies and procedures, including cash handling, security, health & safety and data protection requirements.
• Treat customers, colleagues and client representatives with courtesy and respect at all times.
Skills & Experience
• Previous experience in a Payments Office, customer service, retail or administrative role is desirable.
• Previous experience handling cash and processing debit/credit card payments.
• Strong customer service and interpersonal skills.
• Confident and professional when dealing with customers face to face.
• Good numerical skills and a high level of accuracy and attention to detail.
• Good computer and general administrative skills.
• Good organisational and time-management skills.
• Ability to work effectively both independently and as part of a team.
• Reliable and punctual with a responsible approach to cash handling and security.
• Ability to remain calm and professional when dealing with challenging customers or situations.
• Training will be provided as required
Contract: 12-Month Fixed-Term Contract
Hours of work:
20 – 30 hours per week but occasionally may be more to cover holidays.
